1. Scope and acceptance

1.1 These Application Terms apply to every application to take part in Common Effort 2026 submitted through this platform. By submitting an application, the applicant confirms that they have read, understood and accepted these terms. Where an applicant applies on behalf of another person or an organisation, they confirm that they are authorised to do so and that the applicant named accepts these terms.

1.2 An application is not a registration and does not create a right to attend. Attendance is governed by the confirmation of admission issued by the Organiser, together with the terms that apply to the participation route assigned under clause 2.3.

1.3 These Application Terms are published in English. Where a translation is made available, the English text prevails.

2. Application and admission

2.1 Applications are open to all applicants. A submitted application is an application to participate. It does not constitute a confirmed place.

2.2 The Organiser reviews each application against the purpose of the event, the relevance of the applicant's role and organisation, and the available capacity. Participation is confirmed only through a written confirmation of admission sent by the Organiser to the email address provided.

2.3 When admitting an applicant, the Organiser assigns the participation route and the fee category that apply to that applicant. The applicant does not choose the route. The route, the terms that apply to it and the instructions for completing registration are stated in the confirmation of admission.

2.4 The Organiser may decline an application without being required to state reasons.

2.5 Applications close on 15 November 2026 at 12:00, or earlier once the maximum of 350 participants has been reached.

2.6 Once capacity is reached, further applications are placed on a waiting list in the order in which they are received. Applicants on the waiting list are informed as soon as a place becomes available. No entitlement to participate derives from placement on a waiting list.

2.7 Applications are personal and linked to the named applicant. A place may not be transferred to another person without the prior written approval of the Organiser.

2.8 The applicant is responsible for the accuracy of the information provided in the application. Changes to name, function, organisation or contact details must be reported to the Organiser without delay.

3. No fee at application, and next steps

3.1 No fee is payable when an application is submitted, and no payment is requested in this step.

3.2 An applicant who is admitted receives a confirmation of admission with the instructions, the registration link and the access code needed to complete registration. Registration is completed in a separate step, which has its own terms and conditions.

3.3 The participation fee, if any, and the payment terms of that next step are set out in the terms and conditions that apply to the assigned participation route. They apply to that step and not to this application.

3.4 The registration link and the access code are provided only in the confirmation of admission. They are personal and may not be passed on to any other person.

3.5 Registration must be completed by 20 November 2026 at 12:00.

4. Conduct

4.1 Common Effort exists to build understanding and cooperation between civil and military partners. Applicants and participants are expected to engage professionally, respectfully and constructively with all other participants, staff and venue personnel.

4.2 Discrimination, harassment, intimidation and any behaviour that endangers the safety of others are not accepted.

4.3 The conduct, confidentiality, security and media rules that apply during the event are set out in the terms and conditions of the participation route assigned to the applicant.

5. Personal data

5.1 1 German-Netherlands Corps is responsible for the personal data collected through this application and determines the purposes and the means of its processing. As an international military headquarters, the Organiser applies the standards of Regulation (EU) 2016/679, the General Data Protection Regulation, as its own data protection standard. The rights set out in clause 5.9 are granted on that basis.

5.2 The following personal data is processed: name, title or rank, function, organisation, business contact details, and the role in which the applicant wishes to attend.

5.3 This data is processed in order to assess the application, to decide on the participation route, to communicate with applicants, to manage the waiting list and to prepare the registration of applicants who are admitted.

5.4 Data is shared with the registration platform and with service providers involved in the event, and only to the extent necessary for the purposes set out in clause 5.3. The registration platform acts as a processor on the instructions of the Organiser.

5.5 No participant list is distributed to applicants, participants or third parties.

5.6 Personal data is retained for 12 months after the event.

5.7 Contact details may be used to inform applicants about future Common Effort activities. An applicant may object to this at any time, during the application or afterwards, by sending a message to commoneffort@1gnc.nato.int

5.8 Data relating to registration, payment and invoicing is processed under the terms and conditions of the participation route assigned to the applicant.

5.9 Applicants have the right to request access to their personal data and to request correction, deletion or restriction of processing. Requests can be sent to commoneffort@1gnc.nato.int

6. Liability

6.1 The Organiser is not liable for costs incurred by an applicant in anticipation of participation, including travel and accommodation bookings made before a confirmation of admission has been received.

6.2 Nothing in these Application Terms excludes or limits liability for death or personal injury caused by the negligence of the Organiser, or any other liability that cannot lawfully be excluded or limited under the applicable law.

7. Applicable law and legal status

7.1 These Application Terms, and the application they govern, are subject to the laws of the Federal Republic of Germany, being the location of the seat of the Organiser.

7.2 Any dispute arising from an application to participate in Common Effort 2026 will in the first instance be addressed through consultation in good faith between the applicant, or their sending organisation, and the Organiser.

7.3 Nothing in these Application Terms constitutes a waiver, express or implied, of the privileges and immunities of 1 German-Netherlands Corps, of its personnel or of the sending States under the North Atlantic Treaty, the Agreement between the Parties to the North Atlantic Treaty regarding the Status of their Forces of 19 June 1951, and the Protocol on the Status of International Military Headquarters set up pursuant to the North Atlantic Treaty of 28 August 1952.

7.4 If any provision of these Application Terms is found to be invalid or unenforceable, the remaining provisions remain in full effect.
